AI receptionist or call answering service? An honest UK comparison
If calls are going unanswered, there are two ways to fix it without hiring: a human call answering service, or an AI receptionist. They solve the same problem in different ways, and each is the better choice for some businesses. This guide sets out how they differ, how to compare the cost at your own call volume, and when to combine them.
The short answer
Choose a human answering service if many of your calls need judgement, reassurance or a long conversation, and your call volume is low.
Choose an AI receptionist if most calls are bookings, routine questions and messages, if many arrive out of hours or all at once, or if per-call charges would add up at your volume.
Use both if you want every call answered instantly but still want people on the difficult ones: the AI answers first and transfers what needs a person.
How each one works
A call answering service puts trained receptionists on your line. They answer in your business name, take messages and, on some plans, book appointments into your diary. You usually pay per call or per minute, often with a monthly minimum.
An AI receptionist is a virtual assistant that answers in your business name. It follows call flows written for your business, books appointments, answers common questions, takes messages and transfers calls to your team. You usually pay a monthly fee.
Side by side
| Question | Human answering service | AI receptionist |
|---|---|---|
| Who answers | Trained people in a call centre | A virtual assistant using a natural voice |
| Availability | Depends on the plan; check whether evenings, weekends and bank holidays are included | 24 hours a day, every day |
| Busy moments | Callers may wait if many calls arrive at once | Every call answered at once, however many come in |
| Typical pricing | Per call or per minute, often with a monthly minimum | A monthly fee, flat or with a call allowance |
| Bookings | Some services can book into your diary | Books into your calendar while the caller is on the line |
| Unusual or emotional calls | Strong: people use judgement and empathy | Follows your script; passes anything unusual to your team |
| Consistency | Varies with who picks up | Asks the same questions in the same order every time |
| Setup | Usually quick: you send a script and FAQs | Call flows written and tested; 1 to 5 working days with us |
Answering services vary a lot. Check each provider's current terms rather than relying on a general comparison.
Where a human answering service is better
- Judgement calls. Complaints, sensitive conversations and callers who need reassurance.
- Long or unpredictable conversations that no script could anticipate.
- Very low volume. If you take a handful of calls a week, paying per call may cost less.
- Callers who insist on a person. Some customers simply prefer it.
Where an AI receptionist is better
- Repetitive calls. Bookings, opening hours, prices and directions, answered the same way every time.
- Out of hours. Evenings, weekends and bank holidays without surcharges or a smaller night team.
- Busy moments. Ten calls at once are all answered at once.
- Bookings on the call. The appointment goes into your calendar while the caller is still on the line.
- A predictable bill. A monthly fee does not rise in a busy month the way per-call charges do.
How to compare the cost properly
Headline prices mislead in both directions. Work it out at your real volume:
- Count the calls you want answered in a typical month, and their average length. Your phone bill or system will show both.
- Ask the answering service for its per-call or per-minute price, monthly minimum, and any charge for evenings, weekends or bookings.
- Price the AI receptionist on the plan that covers your volume. Ours are published: £200 a month for up to 250 calls, £350 for up to 750, and £500 for unlimited calls, plus a one-time setup from £500.
- Add your busiest month, not just an average one. That is where per-call pricing usually diverges.
Our missed-call calculator estimates what unanswered calls cost you today, which is the other side of the sum.
Questions to ask either provider
- What exactly happens to a call outside your plan's hours?
- Can you book directly into the diary or system I use, or only take a message?
- How are urgent calls escalated, and to whom?
- What does a busy month cost compared with a quiet one?
- How much notice do I need to give to leave?
- Can I hear it answer as my business before I sign?

Frequently asked questions
Is an AI receptionist cheaper than an answering service?
It depends on your call volume and how each provider charges. Human answering services usually charge per call or per minute, often with a monthly minimum, so the bill rises with volume. An AI receptionist is usually a monthly fee. Count your calls and their average length, then price both at your real volume.
Can callers tell they are talking to an AI?
A good AI receptionist sounds natural, but it should not pretend to be a person. Ours introduces itself as a virtual assistant and can pass the call to a member of your team or take a message at any time.
Which is better for emergencies?
Both can route an urgent call to your on-call person. A human is better at reassuring a distressed caller; an AI receptionist answers instantly at any hour, even when every line is busy, and follows the escalation rules you set every time.
Can I use both?
Yes. A common setup is AI first: the assistant answers every call, handles bookings and routine questions, and transfers the calls that need a person to your team.
